How we handle your information

Who we are

AI-Maxxing is a trading name of [Legal entity name] Ltd, [Registered office address]. We decide how and why your personal information is used, which makes us the "controller" under UK data protection law.

What we collect

• When you use the form: your name, job title, company, work email, phone number if you give it, type of business, staff numbers, and anything you write in the message box.
• When you email or speak to us: what you choose to tell us, and your contact details.
• When you visit the site: our hosting provider records technical details such as your IP address and browser for security and to keep the site running. The site loads its fonts from Google Fonts, which also receives your IP address. We don't use cookies or analytics.

If we contacted you first

We contact people at businesses we think we can help. We use work details that are publicly available, such as company websites, Companies House and LinkedIn, and business contact data from providers such as Apollo.io. We use your name, job title, company and work contact details only to contact you about our services. If you'd rather we didn't, tell us and we'll stop and keep a note so it doesn't happen again.

Why we use it, and our legal basis

• To reply to you and arrange a call: our legitimate interest in responding to enquiries, and taking steps you've asked for before any contract.
• To contact businesses about our services: our legitimate interest in finding clients. You can object at any time.
• To run and protect the website: our legitimate interest in a secure, working site.
• If we work together: to deliver the contract and to meet our legal and accounting obligations.

We don't sell your information, and we don't use it for automated decisions about you.

Who we share it with

Only the providers that help us run the business, under contracts that require them to protect it:

• Vercel, which hosts this website.
• [Form provider], which receives form submissions and passes them to us.
• [Email provider], which runs our email.
• Google, which serves the site's fonts.
• Apollo.io, our business contact data provider.

Some of these providers process information outside the UK, including in the United States. Where they do, we rely on the protections UK law requires, such as the UK-US data bridge or the ICO's international data transfer agreement.

How long we keep it

• Enquiries and prospecting records that don't lead to work: up to 12 months after our last contact, then deleted.
• If you ask us not to contact you: just enough to make sure we don't, for as long as we prospect.
• Client records: for the length of the engagement, then six years for legal and accounting purposes.

Your rights

You can ask us for a copy of your information, ask us to correct or delete it, ask us to limit how we use it, or object to us using it, including for contacting you about our services. Email [hello@aimaxxing.co.uk] and we'll reply within one month.

If you're unhappy with how we've handled your information, please tell us first. You also have the right to complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
