AI audits and automation for events and catering

Every AI project should start with a number.

More profit from the business you already have. We map how your whole operation really runs, find where profit leaks, and put a yearly pound figure on each leak. Then we build the AI fixes forecast to pay back within 12 months.

The call is free. The audit is a paid, fixed-fee engagement. If it isn't worth it for you, we'll say so on the call.

AI-Maxxing (noun): getting the most out of AI, measured in pounds, not demos.

01 / Where it leaks

You know where the money goes. Your team knows how.

Staff costs keep rising, and prices can only follow so far. So we start with costs: a pound cut from costs is a pound of profit, while a pound of new sales is only worth its margin.

Most AI projects start with a tool and go looking for a problem. Ours start with the people doing the work: the sales and events coordinators, kitchen managers, bid writers, staffing teams and accounts staff.

We follow an ordinary morning, click by click. That's where the cost hides. The quote rebuilt from an old one. The allergen sheet typed out again. The same hours keyed into payroll and then into the invoice.

  • 01

    Enquiry to quote

Reading the brief, checking the date, costing food, staff and hire, then building the proposal from an old one.

  • 02

    Event orders and function sheets

Typing what was agreed into kitchen, front of house and logistics sheets, then doing it again every time the numbers change.

  • 03

    Allergens and dietary needs

Matching guest requirements to recipes and labels by hand, where one slip is a safety risk. AI only works from your approved records and flags mismatches. It never decides what's safe.

  • 04

    Tenders and bids

Rewriting the same answers on food standards, staffing and sustainability for every contract, against every deadline.

  • 05

    Timesheets to payroll

Collecting hours from casual and agency staff, checking them against the booking, then keying them into payroll and the client's bill.

  • 06

    Supplier invoices and reconciliation

Matching invoices to orders across sites and events, then working out after each event where the margin went.

02 / How we work

Audit. Build. Maintain.

  1. 01 / Audit

We map the business and price the leaks.

We start with your accounts, then map every function and the people in it. Ten or more interviews, mostly with the people doing the work, checked against your own system data. You get a map of how the business runs, every leak priced in profit a year, and a costed plan: what each fix costs to build, what it returns, and when it pays back.

Fixed fee, agreed before we start

  2. 02 / Build

We fix what pays back fastest.

Quick wins first, so you see one working before you commit to anything bigger. We only recommend a build forecast to pay back within 12 months, on your own figures. It's built around the systems you already use, and anything unusual goes to a named person on your team.

    Forecast payback within 12 months

  3. 03 / Maintain

    We look after it.

We monitor each AI agent, fix what breaks and update it as the models underneath change. Every quarter we review the roadmap with you and agree what's next.

    Monthly, per agent

03 / The audit, up close

We don't ask what you want to automate. We ask where you're losing money.

Then we break the answer down until every step is a single action, and test each one.

"I turn enquiries into quotes" sounds like one task. It's seven.

Every step gets four yes or no questions. Four yeses makes it a prime candidate to automate. Then we check the risk and what a mistake would cost before anything is built.

An enquiry-to-quote task broken into seven steps, each scored on four questions
Step Verdict
1. Read the enquiry email
2. Check the date and venue are free
3. Check guest numbers and budget per head
4. Choose a menu that fits the brief
5. Cost the food, staff and hire
6. Build the proposal
7. Send it and set a follow-up

An illustration. Your scores come from your own interviews. Here, five of seven steps are prime candidates, one needs a human check, and choosing the menu stays with your team.

Then every opportunity lands in one of four boxes.

Value is what it adds to profit. Difficulty is how hard it is to build, how ready your data is, and how much it asks of your people. Most audits find more than you should do at once. We start with the quick wins and earn the right to the rest.

04 / Start here

Start with a 30-minute call.

We'll ask where your business is losing money and what you've already tried. The call is free. If an audit is worth doing, you'll get a fixed fee for it before anything starts. If it isn't, we'll tell you.

  • Free call, by video or phone
  • Fixed audit fee, agreed up front
  • NDA and data processing agreement before we see your data

We reply within one working day. We use your details only to arrange the call. See our privacy notice.
